Our requirements to pack and ship your bike.
At buycycle, your success is our priority.
buycycle is committed to providing a secure and trustworthy marketplace for buying and selling bicycles. To uphold this standard, we require shippers to accurately document the bike’s condition and ensure it is properly packed for safe shipping.
1. Shipping Service
Throughout your buycycle shipping experience — from sale and delivery to claims or returns — our dedicated Customer Service team, all fellow cyclists, is here to support you.
When shipping via buycycle, the shipment is protected under our Buyer Protection Policy, ensuring that the buyer receives the item as described. buycycle will cover repair or replacement costs for transit-related damage, provided the item was packed according to our packaging standards. If damage results from improper or insufficient packaging, the seller (shipper) may be held liable for part or all of the resulting costs.
2. Ordinary Shipping Conditions
All contents, including padding and foam, must be securely fastened inside the shipping box.
When shipping with buycycle, you acknowledge that your bike or accessory may:
- Be tipped onto their largest, most stable side
- Come into contact with other packages
- Be dropped from waist height
- Shift orientation during transit
Therefore the following packing guidelines must be followed in order to prevent damage from ordinary shipping conditions:
3. Proper Packing is Required
Bicycles, wheels, and gear are uniquely shaped, lightweight items with many exposed components, making them more vulnerable during transit. As such, they require specialized packaging to handle normal shipping conditions.
Bike manufacturers and retailers typically rely on packaging engineers to develop solutions that protect bikes effectively. These solutions often include protective foam, custom plastic parts, and specific strapping techniques.
Whether using a buycycle shipping box or your own, you must add sufficient padding to protect the frame and components throughout transit.
If you prefer not to pack the bike yourself, we recommend using a local bike shop for professional packing services. You are responsible for ensuring the packing meets buycycle’s requirements, regardless of who performs the packing.
To properly pack your own bike or gear, consult our packaging guidelines and contact buycycle with any questions prior to your shipment.
4. Accurate Dimensions and Weight are Required
When using your own packaging material, providing correct dimensions and weight ensures your shipment isn’t delayed, returned, or charged extra.
Use a tape measure and scale to get accurate numbers. Always round up length, width, height, and weight to the next whole unit (e.g., 60,2cm → 61cm).
Carriers verify all shipments. Incorrect or falsified info may result in added charges. If you are using a non buycycle box and enter fraudulent dimensions, you are subject to cover the additional shipping cost, plus a penalty of 20Euros.
Oversized shipments will incur a fee of up to 800 Euro ($1200 for US shippers) from UPS or FedEx. This cost will be passed on to the shipper.
Girth refers to the distance around the package, calculated as (2 × width) + (2 × height), excluding the length.
Oversize dimensions:
- Europe: if box exceeds: 200 cm in length or 395 cm in girth, or 40 kg
- US: if box exceeds 79" in length or 160" total girth, or 120 lb
5. buycycle Buyer Protection Policy
buycycle cannot and does not guarantee that your properly packed bicycle or gear will not be accidentally damaged or lost during transit. Our Buyer Protection Policy offers limited protection for the properly packed bicycle or sports accessory contents of your box.
As a seller, you do not control the buyer’s location or shipping method. Buyers pay for the shipping and associated coverage, but the shipment itself must still comply with buycycle’s packing standards in order to be eligible for Buyer Protection.
The Buyer Protection Policy is not insurance, and buycycle is not an insurer. It is a service we provide for orders shipped through our platform.
The policy does not cover damage caused by improper or insufficient packaging. To be eligible, your shipment must be packed according to buycycle’s standards and documented with clear photos as outlined in [Section 6].
If damage occurs and you did not pack the item properly, or you cannot provide proof that you did, you will be held responsible, and the claim will be denied.
Following both the packing guidelines and documentation steps is required for any protection to apply.
6. Documentation and proof
All shippers are responsible for providing detailed evidence of the item’s condition prior to shipping.
These photos are essential proof of the item’s condition before shipping. If a buyer or receiver reports damage, we can only claim it as shipping-related, if the seller provides clear photos of the affected area. Without clear evidence, we must assume the damage existed before shipping.
For sports accessories, please take detailed photos of the item in and outside of the box before shipping.
For bicycles, please follow these detailed guidelines:
What photos to take before packing the bike
- Full bike overview: Full side view (left and right)
- Drivetrain components: Show the derailleur, cranks, and other key parts.
- Close-ups of important areas: Focus on the top tube, seat tube, down tube, fork, rear triangle, and handlebars.
- For E-bikes, take a picture of the computer screen turned on
- You are required to show the packaging box in the background to ensure the time sensitivity. Using images of the bike listing, or images captured not between when the box arrived and before shipping, voids any protection
What photos to take while packing the bike
- The bike fully protected with proper packing materials.
- The bike securely placed inside the shipping box, highlighting the points mentioned in section 7 below
7. Know the Gaps - What Voids the Buyer Protection Policy coverage for shippers
Below is a list of the most commonly reported damage and the situations when the Buyer Protection Policy is void because minimum buycycle standards were not met.
The shipper is responsible for any damage that occurs as a result of the packing errors or omissions listed below, and such cases will not be covered by the Buyer Protection Policy.
Claims of frame damage - such as but not limited to scratches, dings and dents sustained during shipping - are void if
- You did not wrap the entire frame in dense foam padding or the buycycle delivered shredded cardboard; and
- You did not secure your frame in place to keep it from contacting the other contents of your box or the sides of the box or case itself. Any damages caused by detached wheels or components inside the box, need to be prevented and are automatically void.
- You overloaded the box by adding an extra wheelset or modified the box’s original structure (e.g., cutting, reshaping, or forcing it to close), compromising its integrity.
Claims of rear derailleur or rear derailleur hanger damage are void if
- You kept on the rear wheel, and did not wrap the derailleur with foam wrap
- You removed the rear wheel, but did not remove your rear derailleur from its hanger and wrap it in foam before securing it to the inside of your frame.
Claims of damage to the wheels or by the wheels are void if
- You did not install the buycycle wheel protectors, or manufacturer’s plastic end caps to protect wheel axles, then wrap the entire wheels in padding equivalent in function to a wheel bag; and secure to frame or interior plate.
- You did not ship your disc wheels separately from your bike. Note: Loose items within a box can easily damage the soft foam structures of disc wheels.
- For separate wheel shipments: Your wheels show damages that were caused by items inside the box as they were not protected from getting in contact with the second wheel or other loose items.
Claims of damage to your chainrings are void if
- You did not install a foam block between your chainring(s) and the box or case; or
- You did not install a foam block under your bottom bracket to prevent any direct contact with the rings.
- Your chainring got in direct contact with the bottom of the box.
Claims of damage to your brake/shift levers are void if
- You did not wrap your brake/shift levers and any nearby bike components - such as your top tube in dense foam padding; and
- You did not orient your handlebars so that the brake/shift levers pointed toward the center of the box. Levers should not face toward any of the sides of the box so as not to come in contact with them.
Claims of damage to your handlebars are void if
- Wrap the handlebars and any nearby components, like the top tube, with dense foam padding to prevent scratches, dents, or damage during transit.
- Rotate the handlebars 90 degrees inward from their usual position, so they sit within the width of the box. Handlebars that stick out or aren't turned can press against the sides of the box or even contact the ground if the box is laid flat—leading to serious damage.
- Your handlebars got in direct contact with the side of the box and were not covered with dense foam padding.
Claims of damage or loss are void if
- You did not ship in a high quality bike box in like new condition
Claims of damage or loss of small parts or accessories sold with your bicycle are void if:
- You did not place these in a separate small “accessories” box which is placed inside the main shipping box
When you sell or ship with buycycle, you acknowledge that if you do not follow buycycle standard practices, you may forfeit any recovery under the Buyer Protection Policy due to insufficient packing. buycycle reserves the right to adjust your payout price, or return the item at your expense, if you fail to follow our requirements above.
8. Claims
buycycle’s Buyer Protection Policy covers all shipments facilitated by the buycycle platform. If your bicycle or gear is accidentally damaged or lost during shipping with one of our authorized carrier partners, please contact buycycle—not the carrier—to start your claim.
When shipping a bike through buycycle, the item can be inspected by the recipient within 48h of arrival. If the recipient reports damage or loss, buycycle will assess whether the issue:
- Can be repaired
- Requires a replacement
- Or qualifies for a depreciated value payout based on the item’s current market worth
As part of the Buyer Protection Policy, buycycle evaluates each claim individually. This includes reviewing whether the bicycle or other contents were properly packed for shipment. The outcome of this assessment will determine whether the Buyer Protection Policy covers the cost, or whether the shipper is held responsible.
Please note: Items older than 3 years will not be replaced, except in exceptional circumstances determined by buycycle. In such cases, compensation will be limited to the item’s estimated current value.
At buycycle, we aim to make the shipping process as smooth and straightforward as possible. To ensure you receive the full payout for your item, it’s essential to follow the guidelines outlined above.
Our goal is to create a seamless experience for both the shipper and the recipient. When preparing your shipment, we encourage you to pack the bike as if you were traveling with it yourself — with care, attention, and protection in mind.
